The SAS IT Office currently has a staff of four Application Developers dedicated to writing software for SAS Undergraduate Education and the SAS Dean's Office. Currently we are unable to offer programming services to departments but we hope to offer this service in the future. Until we have the resources to make this service available more widely, we would be happy to recommend and work with outside contractors who can perform this service.
By working with our office to manage your outside programming project we can help ensure with the application's design and security. We can also make sure that the software is written in a way that will allow us to host the applications on our central servers. By hosting the applications on our servers you can either save time by not having to manage your own server or pay exorbitant fees to for an outside hosting service.

Aastra Data Collection
DESCRIPTION: This application is used to compile data used in the implementing the university's new Voice over IP telephone system. The university has partnered with a telecommunications company called Aastra, which requires the data that is used in setting up each new telephone to be in a very specific format. The system currently has information for over 6,000 telephones, running the gamut from the model of telephone, to the number that appears on the call ID display, to the building and jack number.

Academic Planning and Advising Day Registration
DESCRIPTION: The Academic Planning and Advising Day Registration (APA Registration) application allows Dean's Office staff to schedule APA Day sessions and manage student registration.

DESCRIPTION: The Academic Rank application allows SAS students in their junior or senior year to see their ranking within their graduation class. Application administrators are able to archive the ranking based on graduation year and update system configuration and templates.

Committee Nominations
DESCRIPTION: This portal allows faculty members to nominate themselves for various SAS academic governance committees, such as Academic Standing, Core Requirements, Curriculum, and Undergraduate Admissions and Scholarship. The nominations are then passed along to the SAS Voting System for election.

Course Catalog System

Course Release Data Entry
DESCRIPTION: This is a temporary data collection utility for collecting information about course releases, which allow faculty members to have reduced teaching loads.

Dean's List Letter
DESCRIPTION: Online Dean's List generation program. Upon student login, generates a dean's list letter in PDF format (if the student is on the dean's list) instead of a physical letter. Administrators are able to login and view the list of students.

Dismissal Form
DESCRIPTION: Students dismissed from the School of Arts and Sciences by the Committee on Scholastic Standing can use this form to appeal the decision. Access to the form is granted by Academic Services because by this point th e student's NetID has been disabled; in addition to searching by name or RUID, the form can display a list of students who have been marked with a special topic ID in MyAdvisor. The form includes questions to answer, a rich text editor to write the appeal letter, and attachment uploading. Staff can then log in and manage the appeal decision.

Email Signature
DESCRIPTION: The Email Signature application allows SAS employees to build their "approved" email signature easily from a template. User information is pre-populated from HR data and users can modify information and select which fields they'd like to include in their signature. Employees can also easily include an approved legal disclaimer at the bottom of their signature. Once generated, they can export in formats which can be used with various email programs.

Employee Lifecycle Management System (ELMS) - Onboarding Portal
DESCRIPTION: The Employee Lifecycle Management System (ELMS) is intended to facilitate managing an employee throughout their entire RU SAS lifecycle, from onboarding to offboarding. SAS IT is building this complex application in stages. The first, and only component at this time, is the SAS Onboarding Portal. This serves as a communication tool between SAS Human Resources and all departments/units in which the job details and all required documentation can be uploaded in order to hire new employees in the School of Arts and Sciences. SAS Human Resources reviews all detail provided by the departments/units and moves forward, if applicable, with processing the I-9 to determine employment verification, and facilitating a template-based hire in HCM. Additional functionality will continue to be developed for other processing during an employee's career at RU SAS.

ESL/ITA Tracking System
DESCRIPTION: This system is designed to track the ESL testing process for students/TAs. The system has a student facing interface, an administrative interface and a department interface. There are three main functions that the system aims to handle:

Hiring Proposal System

Honors Capstone

Honors Course Registration
DESCRIPTION: This project eliminates the need for paper forms entirely. Students log-in to the site and are able to submit their course selections directly into our secure database. Parts of the form are automatically populated to help eliminate data entry errors. Administrators may then log-in and review the submitted course selections in a defined review process that the software manages. Data can then be exported for sending to the registrar. The student data is also automatically retained in the database for review at any time.

Honors Program Application for Continuing Students
DESCRIPTION: This application allows students to apply to the Honors program, including basic personal information and a few uploaded documents. "Reviewer" users can then give these applications a score of 1-4. Once an application has 2 scores (reviewers cannot see a previous score), it is marked as "reviewed". "Admin" users can see a full list applications and their scores.

Honors Seminar Proposal
DESCRIPTION: Faculty who wish to teach an Honors Course or Seminar can suggest it using this form. In addition to the major focus and content of the seminar or course, the faculty member can provide some basic logistical requests (preferred campus, day, time, enrollment limitations). Honors Program staff can then export the proposals in a spreadsheet.

Insight
DESCRIPTION: The Insight system was created to provide everyone in the School of Arts and Sciences a portal through which data could be accessed and analyzed. The system will always be a work in progress with many more additional modules planned to continually expand the available capabilities.
This initial release of the software synchronizes data from central systems once per day. Data that isn't available from the central systems will be maintained by the Dean's Office or the departments themselves. The system's ability to allow departments to maintain their own data is a key feature that helps ensure that everyone is working from the same data.
An additional goal of Insight is to minimize the number of places where data will have to be managed. At present, if the Chair of the department changes, that information must be updated manually in several different locations. We are currently connecting the Insight system to the Joomla Content Management System, our Mailman Listserv system and to other software packages within the school. Once these connections are complete, departments will be able to have Insight automatically update their webpage, mailing lists, access permissions and any number of other sources of information by simply changing the information in Insight.

Invite System
DESCRIPTION: This system allows users to manage an invitation list for an event. A single event can take place one or more times, and in the case of the latter the host can allow guests to RSVP or any or all of the sessions, or just one. The host can invite specific people or use a unique URL to allow guests to self-register. A host planning an event can also present several possible dates and ask prospective guests to vote on when it should take place.

DESCRIPTION: The Live Chat application integrates with department web sites and allows students to engage in an online chat with advisors. Transcripts of chat sessions are automatically entered in the student's record in the MyAdvisor system.

DESCRIPTION: This application manages interactions between advisors and their students. Advisors can add action items and comments, students' and other users' access to which may be restricted. The system also links to the students' requests in MyMajor and any information in Senior Review. Advisors may access student records directly or search based on various criteria.

DESCRIPTION: MyMajor is a system designed to simplify the management of student's requests for changes in majors, minors and graduate dates. Through a customized web interface, students are able to login and view available majors and minors, read information about prerequisites and place requests to declare or change their majors or minors. In the same interface, students are also able to request a graduation date. For administrators, all student requests are placed into a "queue" that is color coded with full search & sort capability. Requests are individually approved or denied based on the criteria set for each major or minor. Departments are also able to login and approve or reject student requests for their departments.

PubMed Parser
PubMed Parser is a multi-departmental publication, author, and user, management system designed to accomplish the following:
- Manage, retrieve, and display publications from PubMed given details for multiple authors across multiple departments
- Allow for the customization and modification of publications retrieved by PubMed on a per-author basis.
- Separation of users into groups that allow overlapping levels of oversight and redundancy when managing publications in the system.
- Provide links to publication indexing services such as PubMed and the Rutgers Library to easily grant the maximum access permitted by law to publications for both university and non-university users.
- Simple integration with new and existing departmental websites via an iframe and JSON interface
- Maintain separate scopes for each author and department administrator – allowing users to modify and access their own information independently of one another and affecting records only related to their own department.

Purchase Approval
DESCRIPTION: This application allows employees to submit purchase proposals along with supplemental information such as quotes and specifications. Once submitted, there is a 2-level approval workflow. After approval, employees can download a PDF file that contains all of the request and approval information. This will be attached to the formal request as supporting documentation for the purchasing team.

Re-Enrollment Application Database
DESCRIPTION: This application allows students to submit an application for re-enrollment. Based on their netid (or RUID), previous academic data is pulled from the SDW, and they can fill in further information and upload transcripts, if necessary. Various levels of admin users then review these applications in various stages of an approval workflow. Depending on the users' decisions, certain pdf letters are emailed to the student, informing them of the decision.

RU Scheduler
DESCRIPTION: RU Scheduler is a general-purpose appointment scheduling system. Appointment hosts can set their own hours of availability at individual locations. Guests can limit their searches for available appointments by weekday, campus, or hosts' specialties. Senior Review
DESCRIPTION: Senior Review simplifies the process of certifying senior level students for graduation by providing a centralized database with data syncing capability with student records from the student data warehouse (SDW). The application is able to pull records from the SDW nightly based on pre-defined criteria that defines the senior class for a particular school. Administrative users of the application are then able to view course work information for students and track completeness for each general graduation requirement. Department administrators are provided with an interface that allows them to login and certify their own students for a specific major.

Special Permission Number
DESCRIPTION: This system processes requests from students seeking to register for closed or restricted courses. Departments can designate which courses and sections are made available to students, who then select their desired sections in rank-preference order. The system can suggest whether or how to assign students to sections based on their selections, limiting factors such as classroom capacity and stop point, and a weighted ranking score based on factors the department can set. Students are notified of their decision via email. Departments can include the SPN in the email or have the student log in to retrieve it; if the student does not retrieve the SPN within a specified deadline, it can be rescinded.

DESCRIPTION: This application allows the Academic Services office to track incoming freshmen and input data that they gather during information sessions these students attend. The application also imports data from various sources (like admissions data) via excel/csv upload. This information can then be altered by the Academic Services' "data entry" users. Also, "manager" users can create specific queries of student data that "query getter" users can download.

Video Vault
DESCRIPTION: The Video Vault application allows Rutgers Faculty/Staff and Alumni to record short video messages, directly from the browser. The application features campaign creation, where recorded videos can be saved for a specific event. Adminstrators can review and approve/reject the submissions. This has been most recently used to record short video "congratulations" messages to upcoming graduates for use in the past 2 year's virtual convocations.

Voting System
DESCRIPTION: The Voting System allows administrators to create elections that allow voters to cast their ballots securely and anonymously. Voters can see all of the elections in which they're eligible to vote. Administrators are able to see the progress of each election and anonymous, aggregate results. Administrators can choose to make any completed election's aggregate results public, or can keep them private.
