Guide to SAS Computing

SAS File Servers

The School of Arts and Sciences uses the Rutgers Active Directory (RAD) for file and print sharing:

  • File Sharing –The sharing of computer data or space on the network. File sharing allows a number of people to use the same file or files with different levels of access privilege
  • Print Sharing –The sharing of printers on the network, which allows for printing redundancy in the event of printer failure
  • File Storage – Data can be stored on the server in a private or public location. Private locations can only be accessed by you while data stored in a public location can be accessed by anyone who has privileges to that data
  • File Server Backup – Data on the server is backed up regularly to prevent loss of data due to a system failure

Using Your NetID

  • Faculty and staff are assigned at NetID during on-boarding. The NetID is a username/password that is used for many University-wide resources, including your own data, so keep it safe.
  • Campus-specific instructions on how to maintain your NetID are available on NetID information page.

Site-Licensed Software

  • Software is offered to all faculty, staff and students for use on University owned computers and in some cases home computers
  • Antivirus software is available at no cost to Rutgers faculty, staff and students
  • OIT has contracted with various vendors to offer a variety of applications and system software at discounted prices exclusively to faculty and staff.

System Security

It is critical to protect the access and integrity of computing resources. It is against university policy to attack or interfere with another system. The following practices should be followed in an effort to protect your system:

  • Use antivirus software and update it regularly
  • Open email attachments only if you are expecting them
  • Apply updates to Windows, Mac OS and Linux, as well as associated application software
  • Disable file sharing options
  • Back up important data onto other media, such as CDs or external encrypted hard drives
  • Keep your original software installation media just in case you need to rebuild your system
  • Use firewall software for added security
  • Do not leave your computer unattended in an unlocked room
  • Use a password protected screen saver

Connecting to Rutgers networks from off-campus

• To access resources that are restricted to Rutgers faculty, staff and students, you must use a technology called a “Virtual Private Network” (VPN). The necessary software to setup VPN comes with recent versions of Windows and Mac.
• The software is also available at http://oit.rutgers.edu/vpn, as well as setup instructions.

EMAIL LISTS

There are two "mass email" facilities in place at Rutgers, one (RAMS) is strictly for administrative and official course mailing lists. The other (listserv) is for University affiliated ad hoc mailing lists.
There are a number of email lists already in place for those involved in computing at Rutgers. They tend to be subject or technology specific. They are all served from the listserv server and can be subscribed to using the same method. Send an email to with the following in the body of the message:

SUBSCRIBE listname FIRSTNAME LASTNAME

Listname shoud be replaced by the name of the list (see below) to which you want to subscribe.

• pc_lan_admins - A low volume discussion list for administrators of PC based servers/networks (not limited to Microsoft).

• apple_admins - A low volume discussion list for administrators of Macintosh based servers/networks.

• linux_admin - A low volume discussion list for administrators of Linux based servers/networks.

• netware_admins - A low volume discussion list for administrators of Netware servers/networks.

• unix_admin - A low volume discussion list for administrators of Unix based servers and networks (predominantly, but not limited to Solaris).

• security_admins - A low volume discussion list for network security issues.

• net_people - A method by which the Telecommunications Division distributes announcements concerning network outages, maintenance schedules, and general information pertaining to the University network.

• network_admin - A method by which the Telecommunications Division distributes announcements

• video_admins - A forum for all things video, including streaming, multicasting, video conferencing for both room and desktop, as well as uses of RU-TV and much more concerning University network specific information.

• web_announce - offers periodic updates to decision-makers and information providers involved in creating the Rutgers web presence.

• web_developers - Provides information of value to designers and programmers about the university's presence.

• web_managers - Provides tips and tutorials for novice web developers such as administrators and other personnel assigned to manage unit/department web sites.

Most, if not all of the above lists are "private" which means the list owner will have to process your subscription request and the email address from which you email to the list much be the same one that is subscribed to the list. This is done to keep the lists limited to Rutgers only people and keeps out spam.

The Online Directory

The Rutgers Online Directory is a central directory listing faculty, staff, and students at Rutgers
University. It is intended to act as an online telephone directory and email directory. Most of the information comes from official administrative data. All full-time faculty and staff should be listed. However, in a few cases where faculty and staff are not paid by Rutgers in the usual way, they are not listed. Almost all registered students are listed. However, it is possible for a student to request either their entire entry or individual items to be omitted from display.

Students have the option of hiding all or part of their information displayed on Rutgers Online Directory by accessing Student Online Directory Management page. If the Student Online Directory Management page is not accessed after a grace period of 2 weeks into the semester, then all information will be displayed on the Rutgers Online Directory. If a student is continuing (i.e. not new this year), whatever settings were in effect in the past for that student will continue unless changed by the student using the online update form available from the main Finding People screen or by accessing Student Online Directory Management page.

Using the Online Directory

The easiest way to look someone up in the directory is through the main Rutgers web page. At the upper left corner of most pages, you'll see "Find: People". That will take you to the online directory search screen.  Search tips are available at the Directory homepage.  If you are logged into a UNIX system at Rutgers, you can also look up information in the online directory using the program "wpwhois".

Making Changes to Data

To update your information in the Online Directory, follow instructions here.

Student information that is not on that form should be changed through the Registrar:

How To Connect and Use Microsoft Remote Desktop Connection

*Note*

If you have been experiencing any connection issues or sluggish performance please complete up to Step 3 and then reference the “If you are experiencing performance issues” appendix that follows after Step 5.

Step 1:

Log into your local machine that you will be connecting to the remote computer with. Before you connect to your remote machine there is certain information that you will need to gather for it. Open your internet browser and navigate to this page: http://myip.sas.rutgers.edu. Here you will find your IP Address listed as well as information regarding whether you are on a public or private network. (Figure 1) If you have a public IP address skip to Step 2, otherwise follow Step 1A.

Step 1A:

Since you are on a private network you will need to connect to the Rutgers University Virtual Private Network (VPN). Follow the steps listed to download and install the VPN client on your local machine from here:

Once you have successfully connected to the VPN proceed to Step 2.

Step 2:

Click Start, point to All Programs, point to Accessories, and then click Remote Desktop Connection. (Figure 2) If you found Remote Desktop Connection and launched it, continue to Step 3.

If you cannot find Remote Desktop Connection through this method, go to Step 2A.

Step 2A:

Click Start, click on the search bar and type “Run” without the quotes, click Run to open the prompt (Figure 3). When it comes up type “mstsc.exe” without the quotes and click OK (Figure 4). This will launch Remote Desktop Connection.

Step 3:

In the Computer field, type the host name or the IP address of the computer to which you want to connect (Figure 5).

*Note*
If you were given a port number to enter along with the computer name/IP address then add a colon and the connection port number after the IP address. If you need to enter a port in the Computer field it will look similar to Figure 6 just without the placeholders.

Step 4:

Press Connect. At this point you will be presented with a login screen (Figure 7). This is where you are going to input your User Name and Password for the remote computer you are connecting to. Enter the correct information in these fields and click OK.

Step 5:

You will next be presented with a box that warns, “The identity of the remote computer cannot be verified. Do you want to connect anyway?” Press YES to this question. (Figure 8) You will now be successfully connected to the remote machine.

Appendix 1:

If you are experiencing performance issues:

Complete the first steps in the instructions up to Step 3 and then press the Show Options button instead of Connect (Figure 9). This will drop down an extension of the window that will present more options. In the Performance tab you will select which connection speed you will connect to the remote computer with. Below you will find three options for connection speed and the separate experiences you will have when using these options (if you would like to get a firm understanding of your connection speeds open your web browser and navigate to http://www.speedtest.net and press Begin Test):

Low-speed Broadband (56Kbp/s-2Mbp/s)

Use this setting if you are still using a dial-up modem or have limited Internet connectivity. Connecting with this option will severely limit the graphical abilities of the Remote Desktop Connection and will not look very similar to the Desktop you are used to, the experience will be close to what is shown in Figure 11.

High-speed Broadband (2Mbp/s-10Mbp/s)

Use this setting if you are using a computer with a network with slower Internet speeds (Usually a wireless network or a wired network on a slower Internet connection.). Connecting with this option will limit the graphical abilities of the Remote Desktop Connection and will have minor things missing from the desktop to conserve resources. You will notice some small graphical changes. The experience will be close to what is shown in Figure 12 but you will notice better performance than with the Low-Speed Broadband setting.



LAN (>10Mbp/s)

Use this setting if you are connecting to the remote machine with a computer that has an always-on, fast Internet connection (usually a wired connection from a cable modem). Connecting with this option will be the closest to your normal Desktop experience that you can achieve. The experience will be similar to what is shown in Figure 14.

Once you have selected the proper Performance setting press the Connect button in the bottom right corner of the window and continue onto Step 4.

Provisioning a User

Provisioning New Users in Rutgers Connect

When a new user is given a NetID, an account is automatically created for them in Rutgers Active Directory (RAD).  Once that account is created, the DirSync software creates the account in Azure Active Directory (AAD).  This is the directory service that Rutgers Connect (RC) uses to authenticate users.

At this point the user exists in the @connect.rutgers.edu domain in RC but they do not have an Office 365 license assigned and they have not be "claimed" by a department.  Under normal circumstances, the user will need to be licensed and claimed by a department.

Licensing the User

Licensing the user is required before their account will work.  This can be done by searching for the user by NetID in the Connect Admin Tool (CAT).  The user will appear with a red box because the account is not yet active.  Click the button to 'Assign Office 365 License' and a license will be assigned.  This change will not be immediate.  It usually takes no more than 15 minutes for this change to sync into AAD but, depending on load, it's possible that it will take longer.  Once this has been completed, you can move on to the next step.

Claiming the User

If all you do is assign an Office 365 license, the user will only have the e-mail address of . You have to claim the user in order to give them an account in the domain that you manage.  So, if the user should have an @sas.rutgers.edu address, you'll need to choose that domain in box that is labeled '365 Primary Email Address' and then click 'Update 365 Primary Address.'  From this page you can also set the user's Display Name and assign aliases as well as setup the SendAs Delegation (more on this below the graphic).

Aliases - Aliases in Office 365 are alternate addresses that will deliver to the user's mailbox.  For example, if user could have an alias of .  However, be careful when assigning these aliases because, at present, users cannot send mail as an alias from Outlook Web Access (OWA), from Outlook or from a mobile device connected via the Microsoft Connector.  New users should either send mail as  or setup a vanity @rutgers.edu address and assign it as their SendAs Delegation Address.  The only way to send e-mail using an alias is to use an alternate e-mail client configured for IMAP and SMTP.

SendAs Delegation - Rutgers allows for users to setup three vanity address in the @rutgers.edu domain.  Users can choose one of these addresses as their SendAs delegation address so they can send mail using this address in Rutgers Connect.  This address will work in Outlook and OWA (but in OWA they will have to choose it as an alternate address each time the send an e-mail). This address can also be used with an email client configured with IMAP and SMTP.

Setting up @rutgers.edu forwarding

Currently, when a new account is created, the old process of pointing that account at RCI by default is still in place.  There is now a button on the user screen in Rutgers Connect that allows you to change their @rutgers.edu aliases to point to the user's @connect address.

Next Steps for the User

After the account has been claimed it will, again, take about 15 minutes for that change to sync to AAD.  After that sync has taken place the user should be able to login.  The only exception will be a user who has not changed their password since January 15, 2016.  If their NetID password wasn't changed since that date, the password does not exist in AAD.  The user will need to change their NetID password and, once it has sync'ed to AAD*, they should be able to login using their  username.

Users can manage their own SendAs address at http://netid.rutgers.edu.

* The first password sync is the only time a password change will take 15 minutes to take effect.  This is because accounts without a password are created as disabled.  While the password itself syncs almost instantly, the enabling of the account is part of the standard sync that occurs about every 15 minutes.  Once the account has been enabled, password syncs will be virtually instananteous.
