Accessing shared accounts in Mac Mail

Configuring Mac Mail to Access a Shared Account

This page explains how to set up a shared, Rutgers Connect email account in Mac Mail.  For generic IMAP email confiuration settings, please see the Generic IMAP Settings For Rutgers Connect on the OIT site.

In Rutgers Connect, shared folders are actually shared accounts.  In order to set them up in Mac Mail, you have to add a new account. These instructions will use the This email address is being protected from spambots. You need JavaScript enabled to view it. account as an example, but you should substitute that with your shared account settings.

  • Open Mac Mail and click Mail (uper left) then choose Accounts...  The left side of the window that appears should show your existing accounts. 
  • Click the plus "+" icon in the lower left side of the window.  A list of different types of accounts should appear (iCloud, Exchange, Google...).

  • Scroll to the bottom until you see the option to "Add Other Account..."

  • Choose Add a Mail account.

In the Add a Email Account window, enter settings for Full Name, Email Address and Password.

  • Enter the name you'd like people to see when you send mail from this shared account in the Full Name field.
  • Enter the e-mail address of the shared account in the Email Address field
  • Enter your NetID password in the Password field.
  • Click Next.
  • A "Account must be manually configured" notice will appear below the Password field.  Click Next.

In the Incoming Mail Server Info window, enter settings for Mail ServerUser Name and Password.

  • Mail Server:  outlook.office365.com
    Note that Incoming and Outgoing servers are the same for everyone.
  • User NameThis email address is being protected from spambots. You need JavaScript enabled to view it.\math-advising
    The incoming username is a little more complicated.  You should first enter the address you use to login to Rutgers Connect.  In this case it is "This email address is being protected from spambots. You need JavaScript enabled to view it.".  Append a backslash '\' and then the name of the shared account, in this case 'math-advising'.
    Note that the account itself is "This email address is being protected from spambots. You need JavaScript enabled to view it." but the account entered below is 'math-advising'.  That is because shared accounts have to have a unique name in Rutgers Connect so all shared accounts are prefixed with the area in which they reside, in this case math.  All accounts in math will have a math, a dash and then the account name before the @.  Therefore, in this case, math-advising.  Subsitite the value for the account that you are setting up.
  • Enter your NetID password in the Password field.
  • Click Next.

If another Incoming Mail Server Info screen appears, enter settings for Port.  If the screen does not appear, proceed with the following step.

  • Path Prefix:  leave blank
  • Port:  993
  • Authentication: leave as Password
  • Click Next.

In the Outgoing Mail Server Info window, enter settings for SMTP Server, User Name and Password.

  • SMTP Server:  smtp.office365.com
    Note that Incoming and Outgoing servers are the same for everyone.
  • User Name:  This email address is being protected from spambots. You need JavaScript enabled to view it.
  • Enter your NetID password in the Password field.
  • Click Next.

If another Outgoing Mail Server Info screen appears,, enter settings for Port. If the screen does not appear, proceed with the following step.

  • Port:  587
  • Authentication: leave as Password
  • Click Create.

 Your account should now be ready for use.
